Streamline multi-level approvals

Overview

Approval flows ensure that changes made in a scenario go through the necessary review process before implementation. Scenario creators can define a structured approval flow with two levels of approvers, keeping decision-making streamlined and transparent.

Setting Up Approvals

After making changes in a scenario and before submitting a scenario for approval, approvers must be set up.

1. Understanding approval levels

  • Organizational lever approvers There are two levels of organization level approvals, which the admin defines.

    • Level 1 reviewers: individuals who check items such as budget implications, org chart hygiene, accuracy of job titles etc.

    • Level 2 reviewers: decision makers who get the final say on hires

      Once approvers are added, they receive an email notification with a link to the scenario.

  • Scenario level approvers

    There are two additional levels of approvals, which the scenario creator defines.

    • Level 0 reviewers: Optional pre-check reviewers who can provide input before the standard approval chain begins.

    • Level 3 reviewers: Optional final reviewers who sign off after the standard Level 2 decision-makers, often used for executive or cross-functional alignment.

2. Select org level approvers

  • Go to SettingsApproval Configurations to assign organizational level approvers before submission.

  • Use the search to select one or more users to act as approvers.

  • Only admins can set up org level approvers

2. Select scenario level approvers

  • Locate the scenario you want to configure approvals for and click the three-dot menu (⋮) next to it.

  • Click Configure Approvals and select approvers for your scenario.

Submitting a Scenario for Approval

After making adjustments to your scenario, you can submit it for review.

  • Click on Submit Scenario, at the top right corner.

  • Provide a justification for your scenario before submitting it for approval.

  • You also have the option to exclude any additions made in the scenario.

  • Once submitted, scenarios can’t be edited unless rejected by an approver. Only then can the submitter make changes.

Approving a Scenario

Approvers can review the scenario details but cannot edit them. Only admin can

1. Viewing approval requests

  • Click on a scenario to open it

  • Click Approve Roles to open the review the changes.

2. Approving scenario requests

The approver can take the following actions for individual change within the scenario:

  • Approve: the role is marked as approved by and moves to the next approver in the workflow.

    The process continues until all required approvers have approved the scenario.

  • Reject: the scenario is immediately marked as rejected

  • Admin actions: Admins have the ability to un-submit the entire scenario.

    • Click Un-submit from the three-dot menu. The role will move back into review status, allowing scenario collaborators to edit the changes.

3. Revising approval requests

You can only edit and resubmit scenario for approval if:

  • the change was un submitted by approver

  • the change was rejected by approver

Once fully approved, the scenario is finalized and ready for implementation.
